Alumni, Communications, and Philanthropy Confidentiality Agreement

I understand that through my employment, student employment, volunteer service, internship, consulting work, or other authorized affiliation with the Division of Alumni, Communications and Philanthropy (ACP), I may have access to confidential, proprietary, or sensitive information belonging to Berea College and its constituents. 

This information may include, but is not limited to: 

I understand that this information is confidential and is entrusted to ACP solely for the purpose of conducting official College business. 

My Responsibilities 

As a condition of receiving access to ACP information and systems, I agree that: 

Protect Confidential Information 

Appropriate Use 

Data Security 

Communications 

Return or Destruction of Information 

Upon completion of my work, transfer to another position, or separation from Berea College 

Acknowledgement 

I understand that unauthorized access, disclosure, misuse, or negligent handling of confidential information may harm Berea College and its constituents; damage donor trust and relationships; violate College policy, contractual obligations, or applicable laws; result in disciplinary action, up to and including termination of employment or student employment; result in loss of system access and, where applicable, legal action.  

Exceptions and Authorized Disclosure 

Berea College recognizes that certain disclosures of confidential information may be necessary to conduct official College business or to comply with legal obligations. Disclosure of confidential information may be permitted only when authorized and limited to the minimum information necessary. 

Exceptions to this Agreement may include, but are not limited to: 

Authorization for Disclosure 

Any disclosure of confidential constituent information outside the routine course of College business must receive prior authorization from the Vice President for Alumni, Communications and Philanthropy, unless the disclosure is otherwise required by law or expressly permitted by College policy. 

I understand that my obligation to maintain confidentiality continues even after my employment, student employment, volunteer service, internship, consulting relationship, or other affiliation with Berea College has ended. 

By signing below, I acknowledge that I have read, understand, and agree to comply with the terms of this Confidentiality and Data Protection Agreement.
