Executive Administrative Assistant

Intro:
Berea College is currently recruiting a full-time position for an Executive Administrative Assistant to provide office management and administrative support to the Vice President and divisional office team.
Responsibilities:
Responsibilities of the Executive Administrative Assistant include the following: managing, monitoring and assisting in the development of divisional budgets; serve as point person for divisional communications—prepare quarterly newsletter, plan and arrange divisional meetings and social gatherings in consultation with the Vice President; overseeing the Vice President’s daily calendar; scheduling meetings and travel arrangements, and donor visits for the Vice President, in consultation with the Vice President; organizing and maintaining current, pending, and daily meeting files as well as maintaining key general files for the division; providing divisional level personnel support in collaboration with People Services for new employees and employees leaving Alumni and College Relations; preparing and expediting all expense reports and check requests for Vice President; providing administrative support for the Development Committee of the Berea College Board of Trustees; maintain donor communication and contacts using a relational donor management system (Banner); coordinate and monitor the purchase of office supplies for Edwards building and act as a liaison to the other units within the division to ensure maximization of resources and avoidance of duplication; drafting, proofing, and finalizing correspondence as assigned, routine office tasks, and answering of phones in the Vice President’s office including providing back-up support for the Administrative Assistant-Development; coordinate Edwards Hall building functions with Facilities Management;; monthly checks on building emergency features; coordinate office phone service with TRC for repair, moving, etc.
Qualifications:
Qualifications for this position include an Associate’s degree, undergraduate degree preferred; five or more years of experience working in a professional office setting providing confidential office management and administrative support for a senior level administrator. The successful candidate for this position will have the following skills: experience supervising staff and overseeing complex budgets required; effective oral and written communication skills; ability to interact effectively with visitors to the office; computer competency; strong organizational skills with demonstrated ability to prioritize time and tasks; ability to work collaboratively and independently while attending to detail required; professionalism; flexibility and the ability to exercise discretion and uphold confidentiality are essential.written and oral communication, collaboration, and teamwork skills; ability to maintain confidentiality; proficient skills in Microsoft Office and Banner applications.
