Administrative Assistant – Development

Introduction:

An outstanding full time position for an experienced Administrative Assistant to provide administrative and secretarial support services to the AVP and Development department within the Alumni and College Relations unit is currently under recruitment.

Responsibilities:

Responsibilities of the Administrative Assistant include the following: in coordination with the Executive Administrative Assistant monitor and track budgets, expenditures and other financial transactions for the development unit with attention to all gift officer staff; file expense reports; track, maintain records and statistics on gift officer staff travel; monitor, reclassify charges for College Purchasing Card charges for major giving area, Berea Fund area, Foundations Manager, and Prospect Manager; provide documentation as requested by Financial Affairs Office and internal and external auditors; manage cell phone contracts, accounts and invoicing; manage divisional automobiles including overseeing maintenance, vendor contracts and scheduling of divisional vehicles and GPS equipment; provide support for development projects/functions including assisting in researching/gathering materials and information (including proposals and case statements for prospective donors); producing correspondence as required, check requests, occasional entry of donor/prospect call and contact reports; occasional assisting with planning campus visits from donors; manage staff time sheets; serve as a back-up for the Vice President office duties as well as a resource for the divisional 800# by answering and routing incoming calls from donors and other external stakeholders; in coordination with the Executive Assistant for Alumni and College Relations, provide assistance to the AVP searches within the development unit; assist in the coordination of staff orientation and ongoing training for gift officers and other staff as needed; train and supervise one student labor position to provide support for clerical activities; organize meetings for the AVP, Development.

Qualifications:

The successful candidate for this position will have the following qualifications: an Associate’s degree required; B.A. or B.S. preferred; three or more years of successful secretarial experience in a professional office setting where responsibilities included data entry, word processing, spreadsheets, managing correspondence, filing, and bookkeeping/accounting. The successful candidate for this position will have the following skills: computer competency; data entry, word processing; strong secretarial skills including bookkeeping/accounting and databases; ability to handle several projects simultaneously with close attention to detail and ability to meet deadlines; excellent organizational, analytical and communication skills, ability to work/talk with staff, faculty and others across campus as well as alumni, friends and suppliers; ability to maintain confidentiality and protect the private nature of files and conversations; must have mature judgment and positive attitude.
