Alumni Building
Barton Room – Board room setting,
seating for 14 around a table. Multimedia Projector and screen
with hookups. Contains
a whiteboard.
Activities Room – Room has hardwood
floors and a stage. No permanent daily set-up. Ideal for dance/exercise
groups, banquets,
and small theatrical productions. Seats app. 200 lecture/theater
style or 125 - 150 for a banquet.
Stammer Room –Board room setting,
seating for 8 people around a table.
Baird Lounge – Large lounge/reception area. Daily setting
is casual lounge setting with the furniture placed in small groupings.
Contain a working fireplace and a piano. The flags are considered
a permanent part of the room décor and can not be removed.
Will seat app. 350 lecture style or 275 for a banquet. Set-ups
this large exceed our supply of tables and chairs and will require
additional tables and chairs to be ordered through Facilities
Management. Fire Marshall capacity for the room is 500 but that
can only be reached during a reception, that number cannot be
seated.
Dining Services – Two small
private dining rooms and the large main dining areas located
inside Dining Services are available
for reservation through Sodexho. We cover media equipment needs
for these areas but other set-ups and arrangements are made through
Sodexho.
Fairchild Hall
Fairchild Room 7 – Located on
the ground floor of Fairchild Hall. Seats 15 around a table.
Contains a whiteboard.
Fairchild 104 – Located on the
first floor of Fairchild Hall. Seats 8 around a table. Contains
a whiteboard.
Woods-Penniman Building
Woods-Penniman Room 1 (WP1) – Located
on the ground floor of Woods-Penniman. Seats 15 around a table.
Contains a whiteboard.
Woods-Penniman Commons (Commons) – Located
on the second floor of Woos-Penniman. A multi-function space
with hardwood
floors and a large stage. Contains a small number (app 25) upholstered
seats. Can be set up for app 250 lecture/theater style or 200
for a banquet.
Commons Kitchen – Located off
the main Commons area on the second floor of Woods-Penniman.
Contains a refrigerator,
stove, and microwave oven. TV in this area belongs to the International
Center. Can not be used for commercial level cooking for banquets.
Should only be used for cooking small meals or as a preparation
and staging area for large banquets. Access from the hallway
or though the Commons.
Woods-Penniman Room 201 (WP 201) – Small
meeting room adjacent to the Commons and the Commons Kitchen,
seats 10 people
around a table. Often reserved as a dressing room or green room
for theatrical or musical performances taking place in the Commons.
Access through the Commons or Commons Kitchen. Should only be
reserved if the group also is reserving the Commons or the Commons
Kitchen.
Reservation
Rules and Guidelines
- Always leave at least one hour between all reservations.
If extensive set-up or breakdown is required, at least two
hours should be allotted for this. Extensive set-up would include
anything beyond a couple of tables or a single piece of media
equipment. Seating changes, more than two tables, or complex
media set-up should be allotted at least two hours. Also be
aware that 8 AM events require set-up at night. If there is
an 8 AM event, we need to allow the same amount of time for
cleaning and set-up the night before.
- Events that will last past 10 PM should be scheduled into
Woods-Penniman, since that building is open 24-hours. There
may be some exceptions to this such as Homecoming and Orientation
weekends, but those will be dealt with on a case by case basis.
- In the instance of groups making all day or several day reservations
for a single event, we need to know what time the event will
actually take place as well as what time the group expects
set-up to be completed. For example, the Cosmopolitan Club
might reserve the Commons for all day Fri. and Sat. However,
they might want the room set-up on Fri. so they can decorate
on Sat. and hold the banquet on Sat. evening at 7 PM. It is
important that we know when set-up needs to be completed as
well as what time the event will occur.
- Limit reservations of the Corner Pocket. The Corner Pocket
needs to remain open for the general student body to use as
much as possible. Only specific Berea College events such as
Orientation and Homecoming should have Corner Pocket reservations.
- The Corner Pocket is a college space designed for student
recreational use. Only specific Berea College events such as
Orientation and Homecoming should have Corner Pocket reservations.
Non-college students which includes children under the age
of 18 are not permitted to use the corner pocket.
